The World Time Meeting Planner helps you find the perfect meeting time across time zones. Follow these steps for optimal use:
Select and add time zones
Choose the first city/time zone from the dropdown menu (e.g. "Berlin") and click "Add". The time zone appears in the list with current time. Repeat for all relevant team locations (minimum 2 time zones required).
Adjust time with slider
Move the slider from 0-23 hours to test different meeting times. All added time zones update automatically showing local time. Watch for color changes (green/yellow/red) indicating availability.
Enable work hours (optional)
Check "Show work hours" to see badges: "Work time" (8-18h), "Early" (6-8h), "Late" (18-22h), "Sleep time" (22-6h). Helps quickly assess appropriateness.
Use optimization function
Click "Find best time" – the algorithm searches all 24 hours and automatically finds the time with maximum availability. Slider jumps to optimal time, ideal for teams in very different time zones.
Check availability status
Note the status badge below the slider: "All awake" (green) = optimal time, "Partially available" (yellow) = acceptable, "Someone sleeping" (red) = inappropriate time. Aim for green status for best participation.
Save team
Enter a name in "Team Name" field (e.g. "EU-US Sales Team") and click "Save team". Team is saved in browser localStorage. Appears in "Saved Teams" list for future use.
Load saved team
For recurring meetings click "Load" next to saved team. All time zones are automatically added. Saves time for weekly/monthly meetings with same team setup.
Share meeting time (link function)
Click "Share link" to copy URL. Send link to colleagues via email/chat – they see the same time configuration in their browser. Useful for meeting suggestions without complicated time zone calculations.
